From ring to visit
First, it answers.
Every call is picked up on the first ring, at 2 PM or 2 AM, in the caller’s own language.
Then it listens.
A few questions about the symptoms point the patient to the right department.
Then it books.
Swara finds a real, free slot, reads it back, and books it only after a clear yes. A WhatsApp or SMS confirmation follows.
Then it follows up.
A reminder goes out before the visit, so the patient arrives on time.

What Swara handles at your front desk
In an Indian hospital, almost every visit starts with a phone call to the front desk. Swara answers that call, so no patient goes unheard.
Appointment booking, live from your HMIS
Swara asks the patient a few questions about their symptoms to choose the right department. It then checks your Hospital Management Information System (HMIS) for live doctor availability and books the slot during the call. It never diagnoses or prescribes.Asks about symptoms, picks the department and books a doctor live from your HMIS.

Does it work with our hospital system?
Yes. Swara connects to your Hospital Management Information System (HMIS) to read live doctor availability and book appointments as the call happens, so nothing is entered twice.
Can patients change or cancel an appointment?
Yes. Swara finds the caller’s upcoming appointments, then moves or cancels the one they choose, reading the change back before it acts.
Will patients get a confirmation?
Yes. Once an appointment is booked, the patient receives a confirmation on WhatsApp or by SMS.
Does it give medical advice?
No. It asks a few questions to send the patient to the right department and books them in. It never diagnoses or prescribes; clinical decisions stay with your doctors.
Can Swara transfer a call to our front desk?
The call goes to your front desk whenever a patient asks for someone, or when a conversation needs a human. Your staff take the calls that matter; Swara takes the rest.
How is patient data protected?
Calls are not recorded; only a text transcript is kept, on secure servers in India, encrypted in transit and at rest. Transcripts are deleted after 90 days, only the hospital and authorised Swaram AI staff can see them, and patients can ask to see, correct or delete their data under the DPDP Act. Read how we handle patient data
How long until it takes calls?
Less than a week. We load your departments, doctors, timings and FAQs, connect your HMIS, and test with your team before Swara answers a single live call.
Are patient calls recorded?
No. Calls are not recorded; only a text transcript is kept, and it is deleted after 90 days. If a hospital chooses to turn on recording in future, patients are told at the start of the call, before anything is recorded.
What happens to calls that come in at night?
Swara answers them, day or night, on Sundays and holidays, in the patient’s language. It books the first free slot of the morning and sends the patient a reminder before the visit.
Can Swara answer several calls at once?
Yes. Swara takes many calls at the same time without slowing down, so busy hours don’t leave patients waiting on the line.
Can it answer insurance and billing questions?
Yes. Swara answers patient questions about insurance cover, payments and bills, along with everyday questions like timings and where a department is.

You can focus on caring for your patients, while Swara handles the rest.
How Swara handles what patients say on a call. Swara is a product of Swaram AI, a brand of Forzeron LLP.
Last updated: 31 October 2026.
Who we are
Swara is an AI receptionist built by Swaram AI, a brand of Forzeron LLP. When a patient calls a hospital or clinic that uses Swara, we handle the call on that hospital’s behalf: the hospital decides why the information is collected, and we process it for them.
What Swara does with a call
Swara answers the call, asks a few questions to send the patient to the right department, books the appointment in your hospital system, and sends a confirmation and a reminder.
What is collected
To do that, a call can involve the caller’s phone number, their name, the reason for the visit they describe, the appointment that is booked, and a text transcript of the conversation.
Call recordings
Calls are not recorded. Only a text transcript is kept. If a hospital chooses to turn on call recording in future, patients will be told at the start of the call, before anything is recorded.
Where it is stored, and for how long
All call data is stored on servers in India (Mumbai), on cloud infrastructure that encrypts stored data. Every connection to and from Swara is encrypted in transit.
Call transcripts are deleted after 90 days. Appointment records are kept for as long as the hospital uses Swara, so it can manage its bookings, and are deleted when the hospital stops using the service or when a patient asks.
Who can see it
Only the hospital you called and a small number of authorised Swaram AI staff, who need it to run and support the service, can see call data. Access requires a secure login.
Service providers
To answer calls, Swara relies on a few specialised providers: telephony, speech recognition and speech generation, an AI language model, and messaging for WhatsApp and SMS confirmations. Each receives only the part of the call it needs to do its job.
Medical advice
Swara does not diagnose or prescribe. It only directs patients to the right department and books them in; clinical decisions stay with your doctors.
Patients’ rights
Under India’s Digital Personal Data Protection Act, 2023, patients can ask to see, correct or erase their personal data, and raise a grievance.
To make a request, contact the hospital you called, or write to our Grievance Officer below. We respond within 30 days.
